**SUBJECT:** Mandatory Heating and Ventilation System Upgrade Schedule
Dear Colleagues,
I am writing to formally announce an upcoming essential infrastructure project regarding the heating, ventilation, and air conditioning (HVAC) systems across all three floors of our premises. To ensure the continued comfort of our staff and the long-term sustainability of our workspace, Harwood & Vale will be undergoing a mandatory system upgrade over two consecutive weekends this November.
**Upgrade Schedule**
The scheduled works will take place during the following windows:
* **Weekend 1:** Saturday, 8 November and Sunday, 9 November
* **Weekend 2:** Saturday, 15 November and Sunday, 16 November
**Access and Security Restrictions**
Please be advised that for the duration of these four days, the office premises will be entirely inaccessible to all staff members. Due to the nature of the technical installation and the requirement for heavy machinery movement across various zones, our internal alarm system will be temporarily disabled during working hours on these dates to allow contractors safe and unhindered access to the ductwork and plant rooms.
As a result, no one will be permitted to enter the building to retrieve personal items or perform work tasks once the contractor teams have arrived on-site each Saturday morning.
**Required Actions for Staff**
To facilitate a smooth transition and ensure the security of our workspace, we kindly request that all staff adhere to the following instructions before leaving the office on Friday, 7 November, and Friday, 14 November:
1. **Perishable Items:** Please remove all perishable food and drinks from your individual desks and all shared kitchen refrigerators. Any items left in these areas may be disposed of by the cleaning crew to prevent odors or hygiene issues during the maintenance period.
2. **Equipment and Remote Work:** If you anticipate needing to perform any work over these weekends, please ensure that you take home your company-issued laptops, chargers, and any necessary peripherals on Friday evening. The office will be closed, and power to certain zones may be intermittently interrupted.
3. **Confidentiality and Data Protection:** As an accounting firm, the security of our client data is paramount. While contractors will be working in designated areas, we must maintain our high standards of confidentiality. Please ensure that no confidential documents, client files, or sensitive paperwork are left on open desk surfaces. All such materials must be secured in locked filing cabinets or drawers before you depart for the weekend.

We understand that these closures may cause slight inconvenience; however, this upgrade is a vital investment in our workplace. Dear Colleagues,
Please be advised that Harwood & Vale will be undertaking a mandatory comprehensive upgrade of the building’s heating, ventilation, and air conditioning (HVAC) systems. To minimize disruption to our daily operations and ensure the safety of all personnel, this work has been scheduled to take place over two consecutive weekends.
**Schedule of Works**
The upgrades will occur during the following periods:
* **Weekend One:** Saturday, 8 November and Sunday, 9 November
* **Weekend Two:** Saturday, 15 November and Sunday, 16 November
During these specific dates, all three floors of the office will be strictly inaccessible to staff. We ask that you plan your schedules accordingly to ensure that no essential on-site work is required during these windows. Please note that the building’s alarm system will be temporarily disabled while contractors are on-site to facilitate their movement and installation processes; consequently, for security reasons, unauthorized entry is prohibited.
**Required Staff Actions**
To ensure the process runs smoothly and to prevent any loss or damage to personal or firm property, we require all staff to adhere to the following guidelines before leaving the office on Friday, 7 November, and again on Friday, 14 November:
1. **Removal of Perishables:** Please clear all perishable food items from your desks and shared kitchen refrigerators. Any items left in common fridges over the weekends will be discarded to maintain hygiene standards, as power may be intermittently cut to specific zones during the installation.
2. **Equipment and Hardware:** If you anticipate needing to work over these weekends, please ensure you take your laptops and any necessary peripherals home with you on Friday afternoon. As mentioned, there will be no access to the premises until Monday morning.
3. **Confidentiality and Security:** Given the sensitive nature of our accounting work and our commitment to client confidentiality, it is imperative that a strict "clean desk" policy is observed. Please ensure that no confidential documents, client files, or sensitive data are left on open surfaces. All such materials must be securely locked in drawers or filing cabinets.
